The problem
A garage runs on bay capacity, and bay capacity is filled by the phone. Every unanswered ring is an empty slot next Tuesday you won't get back. The problem is that filling bays and answering calls need the same pair of hands.
Three things make that costly:
- Drivers are working to a deadline. An MOT expiring this month, a warning light, a noise that started this morning. They ring down the list until someone says when they can be seen.
- Nobody waits for a callback. They are booking today, with whichever garage picked up.
- Fleet work goes the same way. A local business booking multiple vehicles isn't one job, it's a supplier relationship worth thousands a year.
Saturday morning is the worst of it. Your busiest day on the tools is also the day people are free to sort their car out. The calls stack up on the workbench while you're under a bonnet, and by Monday most have booked in somewhere else.
The calls you miss
On the ramp with a gearbox out. A caller wants a full service and an MOT while they're at it. You surface three minutes later. They've already booked elsewhere.
Diagnosing a fault under the bonnet. A first-time caller rings about a warning light. They want to know how soon you can get them in. No answer means no trust. They move on.
Road-testing after a brake job. You're two miles from the workshop when your phone rings. A fleet manager needs six vehicles booked in before month end. You have no hands to take the call.
Saturday morning. Your busiest day. Three calls come in before 8:30am from people who want to drop off before work next week. You're elbow-deep and your phone is on the workbench.
How Telphi answers for a garage
Here is a typical call when Telphi handles it.
Caller: "Hi, I need to get my car booked in for an MOT."
Telphi: "Of course. Can I take the make and model of your vehicle, and the registration?"
Caller: "It's a 2019 Ford Focus, EM19 XYZ."
Telphi: "And when does the MOT expire?"
Caller: "End of next month, so I've got a bit of time."
Telphi: "No problem. Is there anything else the car needs looking at – any warning lights, unusual noises, or other work you'd like done at the same time?"
Caller: "Yeah, the front tyres are getting low. Could do with two new ones."
Telphi: "Got it – MOT plus two front tyres on an EM19 XYZ. Can I take your name and best number?"
Caller: "John, 07700 900441."
Telphi: "Perfect. I'll send you a link to pick a date and time that works for you."
John gets a text within seconds. He books the slot himself. You get a notification with the full summary: name, number, registration, MOT deadline, work required.
What you get after every call
Every handled call produces a structured summary in the Telphi app:
- Caller name and number – ready to call back if needed
- Vehicle make, model, and registration
- Work requested and any urgency flags – MOT deadline, warning lights, fleet bookings
- Full call transcript – review the exact conversation
- Call recording – available if you need to re-check job details
- Spam filtered – cold callers and parts suppliers who don't need a callback are flagged separately
Urgent callers – a car that won't start, a fleet manager with a hard deadline – can be transferred directly to you in real time.
Booking happens while you work
When the call ends, Telphi texts the caller a booking link. They pick a date and time from your live availability and confirm the appointment straight into your calendar. No back-and-forth. No double-booking. No admin when you get back to the office. The slot is filled before you finish the job you were on.
Customers often want to choose their own drop-off time. The booking link puts that choice in their hands immediately, while the job is still front of mind.
