Defining each option
Voicemail. A recording system that plays a pre-recorded greeting, then records the caller's message. The interaction is one-way: the caller speaks into a void and hopes someone listens later. No questions are asked. No data is structured. No booking is made.
IVR (interactive voice response). A phone menu system that plays recorded prompts and routes callers based on which number they press. "Press 1 for sales, press 2 for support, press 3 to hear our opening hours." IVR routes calls; it does not handle them. The caller still ends up waiting, leaving a message, or hanging up.
AI receptionist. Software that answers the call and holds a natural, two-way conversation. It asks the caller about their job, location, urgency, and budget. It captures structured information, sends a summary to you, and can text the caller a booking link so they book directly into your calendar.
Is an AI receptionist just fancy voicemail?
No. Voicemail is passive – it waits for the caller to speak and records whatever they say. An AI receptionist is active – it asks specific questions, prompts the caller when answers are vague, and ensures the right information is captured before the call ends.
The practical difference is significant. A voicemail from a potential customer typically sounds like: "Hi, I need someone to fix my boiler, can you call me back? It's Dave, my number is..." An AI receptionist captures the same caller's job type, address, urgency, preferred time, and whether they have been a previous customer – all in a structured format, without you listening to a single message.
How caller behaviour differs
Most callers will not leave a voicemail. Research consistently shows that 70% or more of callers hang up without leaving a message when they reach voicemail – particularly first-time callers who have no relationship with the business. When callers have a choice between businesses, they call the next one rather than wait.
IVR performs even worse for first impressions. Phone menus are associated with large, impersonal organisations. A tradesperson or small local business using IVR creates a jarring disconnect – callers expected a person and got a machine. Many hang up before selecting an option.
An AI receptionist that picks up immediately and speaks naturally keeps callers on the line and engaged.
Side-by-side comparison
| Factor | Voicemail | IVR | AI receptionist |
|---|---|---|---|
| Caller experience | Speak to a beep | Navigate a menu | Real conversation |
| Callers who engage | ~30% leave a message | Variable; many hang up | 90%+ complete the interaction |
| Questions asked | None | None | Qualifying questions tailored to your business |
| Data captured | Unstructured audio | Call routing only | Structured: name, job, location, urgency, contact |
| Lead qualification | None | None | Yes – filters serious enquiries from time-wasters |
| After-hours coverage | Yes, but passive | Yes, but passive | Yes, active – same as during hours |
| Booking | No | No | Yes – texts caller a booking link |
| Quote | No | No | Yes – instant quotes based on your pricing rules |
| Cost | Free or included | Free or low cost | Monthly subscription |
| Professionalism signal | Low | Medium (for large companies); low for small businesses | High |
Where voicemail and IVR still have a role
Overflow and backup. Voicemail is a reasonable safety net for calls that fall through every other system – not a primary answering strategy. If an AI receptionist ever fails to connect, voicemail captures something.
Internal routing in larger teams. IVR can make sense when a business has genuinely distinct departments – a company with a sales team, a support team, and a billing team might use IVR to route callers to the right person. For solo operators and small trade teams, this is unnecessary complexity.
Cost-constrained situations. If budget is genuinely zero and call volume is very low, voicemail is better than no answer at all. But for a trade business taking five or more inbound enquiries per week, the revenue lost to missed calls exceeds a monthly AI subscription within a few missed jobs.
The lead loss calculation
Suppose your business takes 80 inbound calls per month and you currently use voicemail. If 70% of new callers hang up without leaving a message, you are effectively invisible to 56 callers a month. If even 10 of those were genuine enquiries worth £200–£500 each, that is £2,000–£5,000 in potential revenue walking away every month.
An AI receptionist does not recover all of that – some callers are just browsing, some will find a competitor regardless. But capturing even 30–40% more of those enquiries covers the cost of the service many times over.
Frequently asked questions
IVR stands for interactive voice response. It is an automated phone system that plays recorded menus and routes callers to different extensions or departments based on which number they press. IVR does not hold a conversation, qualify a caller, or capture lead information – it redirects.
Callers who do not know your business have no reason to leave a message and wait. They rang because they need something done. If you do not answer, they ring the next business on the list. The effort of leaving a voicemail and waiting for a callback is higher than the effort of calling someone else.
Yes. Most AI receptionists, including Telphi, work by diverting unanswered calls – your phone rings first, and if you do not pick up, the AI takes over. There is no need to change your number or your existing system.
For small and local businesses, yes. IVR is strongly associated with large organisations – banks, utilities, government services. A small trade business using an IVR menu creates confusion and often frustration. An AI receptionist that answers immediately with a natural voice fits the context better and keeps the caller engaged.
An AI receptionist captures structured data: the caller's name, phone number, job type, location, urgency level, preferred appointment time, and any relevant details you specify. Voicemail captures whatever the caller chooses to say, in whatever order, with no guarantee the key information is included. ---
